Dashboard — common questions

Quick answers on every dashboard card, number and button, how to rearrange or hide widgets, what the calendar colors mean, and why a card is missing or looks empty.

Where to find it

Dashboard (first item in the sidebar, and the page you land on after login)

Short answers about the Dashboard, the page you see after you log in. Several cards only appear when a feature is connected or when there is something to show, so a missing card is often normal.

Where to find it

Dashboard is the first item in the left sidebar and the page you land on after logging in. What you see depends on your role: owners get the full, customizable dashboard; managers and staff get simpler, fixed ones.

Common questions

What is on my dashboard?

For an owner: a booking calendar, Today's Rentals, Deliveries today, Today's Activity, Statuses, money cards (Deposits Held, Outstanding Balance, Refund Liability, Past Due), fleet cards (Fleet Health, Maintenance Snapshot, Maintenance Cost, Fleet Depreciation) and growth cards (Revenue Trend, Revenue by Category, Customer Acquisition, Popular Items, Staff Activity, Traffic Overview). Some extra cards appear only when connected: Tracker map, Search & Traffic, Google Reviews and SEO — needs attention. See What's on your dashboard.

Why does my manager or employee see a different dashboard?

Each role gets its own dashboard. A manager sees Booked Revenue (for today), Upcoming, Pending Waivers, Today's Activity, the calendar and the revenue and popular-item cards. A staff member sees Active Bookings, Pending Waivers and the pickups and returns for Today or 3 Days. Only the owner can rearrange and hide cards.

How do I find one booking fast?

Use the search box in the dashboard header: "Find a booking or item — name, confirmation #, or nickname…". On a phone it sits in its own row under the header. Pick a result to open it.

What do + New Booking, + Add Item and All Bookings do?

They are shortcuts in the owner header: + New Booking starts a booking, + Add Item opens a new fleet item, and All Bookings opens the full list.

How do I rearrange or resize my dashboard cards?

Press Edit Layout (top right), drag a card by its Drag to reposition handle, resize it with the small corner handle that appears at its bottom-right when you hover, then press Done Editing. The dashboard is a 6-column grid. See Rearranging or hiding dashboard widgets.

How do I hide a dashboard card, and get it back?

In edit mode, press the eye-slash button on a card (its hover text reads "Hide" followed by the card's name). Hidden cards collect in a Hidden Widgets tray at the bottom of the page (it shows while you edit, and afterward whenever something is hidden); click one to bring it back. The calendar, Today's Rentals and the Tracker map cannot be hidden.

I can't find Edit Layout. Is there a reset to default?

Edit Layout only appears on screens at least 768 pixels wide, because dragging cards is too easy to get wrong on a phone. There is no "restore default" button: use ↺ Undo during editing to step back one change at a time.

Do my layout changes follow me to another computer?

Yes. Your layout and hidden cards are saved to your own account as well as your browser, so they follow you. The header shows "Layout saved ✓" after a change, or "Layout not saved" if it did not go through. Hiding a card only changes your dashboard, not anyone else's.

What do the calendar colors mean?

Upcoming (purple) is booked and not yet picked up. In Progress (blue) is out with a customer. Needs Attention (red) is a booking whose pickup or return time passed without the expected action: still out past its return time, or never picked up. Completed (green) is done. Cancelled/Expired (grey) is dead. Quote (brown) is a quote the customer has not paid yet, with its dates held. Practice bookings show pink with a dashed edge.

How do I look at a different day, week or month on the calendar?

Click a day on the calendar and Today's Rentals switches to that day (the Today button jumps back). Use the arrows to move and the 3 Days, 7 Days and Month buttons to change the view. Set as default appears when your view differs from your saved one and remembers it on this device only.

Why do older days say "Not loaded"?

The dashboard only loads the last 6 months of bookings. For earlier history open Bookings, which holds the full record.

What does "Booked this month" at the top of the calendar mean?

It is the money collected (amounts paid, after refunds) on bookings created this month, counted by the date the booking was made and not by the rental date. Beside it, Avg booking value (last 6 months) averages bookings over six months. Practice bookings are left out.

What is Today's Rentals?

Every booking with something happening on the selected day: a pickup, a return, or a rental still out. Click a booking to open it.

What do Active Today, Pickups, Returns and Overdue mean?

Active Today is bookings with a pickup, a return or a rental in progress today. Pickups and Returns count bookings scheduled for today, finished or not (cancelled and expired ones are left out). Overdue is rentals that should already be back but are not, either out and late or never picked up. Hover or tap a number to see which bookings are behind it.

What do Booked (all), Currently Out, Returning and Completed mean in Statuses?

Pick 3 Days, 7 Days or Month (30 days) to set the window; it includes today. Booked (all) is every booking that is not cancelled or expired and whose rental overlaps the window, plus anything still out. Currently Out is every booking checked out right now, whatever the window. Returning is still-open bookings due back in the window. Completed is finished bookings whose return date fell in the last days of the window.

Why does a number say "partial — list capped"?

The dashboard works from a limited list of recent bookings. When Renta can tell the list is incomplete it adds this note instead of silently under-counting. Open Bookings for exact totals.

What is Deposits Held?

The total of security deposits currently held across active bookings, with the number of holds. It reads "No active holds" when there are none. See Deposit hold: release vs. capture.

What is Outstanding Balance?

The balance still owed on confirmed, active and completed bookings, minus refunds already given. It is not limited to overdue bookings. It reads "All settled" when nothing is owed.

What is Refund Liability?

Refunds that are scheduled but not yet issued to customers.

What are the numbers in Past Due?

Incompleted is rentals that should be back but are not (the same count as Overdue). Past-due Payments is bookings past their return date with money still owed. Undercharged is past bookings where the customer paid less than the final price after refunds. Overcharged is past bookings where they paid more, so a refund may be due. Active Deposits is deposits still held on bookings already past their return date. The card gets a red border when there are issues. Past-due payments are not netted against refunds, so they can differ from Outstanding Balance.

What do Fleet Health and Utilization show?

Counts of units that are Available, Rented Out, in Maintenance or Retired, out of a Total. Utilization is rented-out units divided by all units that are not retired, as a percentage. It says "No fleet items added yet" until you add items. See Fleet health and maintenance snapshot.

What is the Maintenance Snapshot?

Two lists: Action Required (items due before upcoming pickups) and Upcoming. Rows marked "est." are projected from your maintenance schedules. Click a row to open that item in Maintenance. It only looks at pickups in the next few days, so its count can be lower than the Maintenance page; View all opens the full list. It reads "All clear" when nothing needs doing.

What is Maintenance Cost?

The total of maintenance logs for the current month so far ("Month-to-date"). It says "No logs this month" until a maintenance log is saved.

What does Fleet Depreciation show?

Purchase Cost, Current Value, Depreciation and Items Tracked for items that have a purchase price. It says "Set purchase price to track depreciation" until at least one has. View all opens the full page; see Your whole fleet's asset value.

What does Revenue Trend show?

A line chart of money collected per month over the last 6 months. The dashed part of the line is the current month so far, so do not read it as a drop. See Revenue trend, traffic and popular items.

Which months do Revenue by Category and Popular Items cover?

The last 12 months, not just this month. Revenue by Category splits money collected by fleet category. Popular Items shows your top 5 items ranked by number of bookings, with each item's bookings and revenue; click a row to open the item. Practice bookings are not counted.

What is Customer Acquisition (6mo)?

For each of the last six months, how many customers were new (their first booking with you) and how many were returning.

Why doesn't my revenue match my Stripe payouts?

Dashboard revenue counts amounts paid on confirmed, active, completed and cancelled bookings (a refunded cancellation counts as zero), by the month the booking was created, with practice bookings left out. Stripe payouts follow Stripe's own timing and fees. For a filtered version use Revenue, popular items and repeat customers.

What is Staff Activity?

A short feed of recent staff actions. View all opens the full Audit Log; see Audit log common questions.

What does Traffic Overview show?

Storefront visitors over the last 30 days (or "N days so far" if tracking began recently), and the Visitor → booking rate. It says "No storefront visits recorded yet" when there are none, and a separate message if the data could not load, which is not the same as zero. See How many people are visiting your site.

Why don't I see Search & Traffic or Google Reviews?

They only appear when they have data. Search & Traffic (Search clicks and Sessions for the last 7 days) needs Google connected and a paid plan. Google Reviews (Average rating and Reviews) needs your own Google Business Profile connected and at least one review. See Google Search and review widgets on your dashboard.

What is "SEO — needs attention", and why is it not there?

It lists only critical website problems, such as a site blocked from Google, a published page missing from both your sitemap and your menu, or a custom domain that was never verified, each with a fix link. With no critical problems the card does not appear. See Fixing SEO problems Renta finds.

What is Deliveries today?

The delivery and pickup runs scheduled for today with the time and driver, a count of runs that "need a driver", and an Open Dispatch link. It says "No deliveries today" when there are none. See Coordinating deliveries and pickups.

Why is there no Tracker map?

It appears only when RideDog is connected and at least one tracker exists. It expands to a full-screen map. See Connecting RideDog.
