Finding the screens

Where do I find pricing rules, bundles and rate cards?

Click Pricing in the left sidebar to open Pricing Rules. Hover over Pricing to see Pricing rules, Rate card templates, Bundle discounts, Fees, Late fees and Payment & policies. On the Fleet page, the three-dot menu (labelled More fleet actions) also links to Bundle Discounts, Rate Card Templates and Pricing Rules. See Universal Rules and the other Pricing tabs.

What are the tabs on the Pricing Rules page, and which can I edit there?

The tabs are Seasonal, Time-Based, Multi-Day / Hour, Bundle, Universal Rules, Coupons and Gift cards. Of the rule tabs, only Seasonal lets you add, change and delete rules on that page. Time-Based, Multi-Day / Hour and Bundle are read-only lists (you can look but not change): click Edit on item → to edit a weekday or long-rental rule on its item, and New bundle → to reach the bundle page. Rules that are not tied to one item do not appear on the Time-Based and Multi-Day / Hour lists. See Universal Rules and the other Pricing tabs.

Seasonal rules

How do I create a seasonal rule?

A seasonal rule raises or lowers prices automatically during a date range, like a summer surcharge (an extra charge added to the price). 1. Click Pricing, then the Seasonal tab. 2. Click + Add seasonal rule. 3. Fill in Name, Applies to, Start date and End date, choose Surcharge or Discount, then set Amount and Type (% or $). 4. Click Save rule.

What does each field on the seasonal rule form mean?

Name is only for you. Applies to is All fleet items or one item (archived items are not offered). Start date and End date are both required, and the end date itself is included. Surcharge adds money and Discount takes it off, Amount is the size and Type picks % or $, with a one-line preview underneath that uses a sample $100 per day rental. What are the limits on the Amount?

A % Discount can go up to 100, a % Surcharge up to 300, and a $ amount up to 5000 in either direction. The Amount box will not accept more than the limit for the choice you made. The limits are typo guards (a stray extra digit would otherwise change every price in the date range), and a message such as "Surcharge cannot exceed 300%." appears if one slips through. How do I edit, delete or pause a seasonal rule?

Click Edit on the rule, change it, and click Save rule. The small X on the right of the rule deletes it at once, with no confirmation, and it cannot be undone. There is no pause switch on this screen: to switch a rule off for a while, edit its dates to a range that has already passed. A rule that is not active is not listed and never applies. What errors or empty messages can the seasonal tab show?

With no rules the tab says "No seasonal rules yet. Add one to automatically adjust prices during a date range." Saving without a name shows "Name is required.", and saving without both dates shows "Start and end dates are required" followed by a reminder that seasonal rules only apply within a date range. On a computer, if you type a date into the text box at the top of the calendar and it cannot be read, it says "Invalid date format", so use the calendar or a format like 01/15/2026. Why is my seasonal rule not changing the price?

Check that Applies to covers the item, that the rule appears in the list, and that it has both dates. A rule is matched on the pickup date only: it applies if pickup falls from the Start date through the end of the End date, and then it adjusts the whole rental's price, not just the days inside the window. A rental that starts before the window opens gets nothing, even if later days fall inside it. A pickup near midnight UTC (the evening in US timezones) can be read as the neighbouring day, see the timezone question further down this page. See Seasonal price markups and discounts.

What is "Show a promo tag on my homepage"?

It appears only when Discount is chosen. While today is between the rule's dates, a small tag shows at the top of your homepage: pick Ribbon or Tag, and optionally type a Label of up to 40 characters, or leave it blank for an automatic one such as "20% OFF". The rule then shows a Homepage tag badge in the list. The tag is for show only and never changes what anyone pays, and switching the rule to Surcharge turns it off. Day-of-week (time-based) rules

How do I add a day-of-week or weekend price rule?

Weekday rules are called time-based rules and are added on the item itself. 1. Open the item from Fleet and go to its Pricing step. 2. Under Time-Based Pricing, click + Add rule. 3. Type a Name, tap the days under Days of week, and optionally fill Start date (optional) and End date (optional). 4. Choose Surcharge or Discount, set Amount and Type, then click Save rule, which saves it straight away.

What happens if I leave Days of week blank or fill in only one date?

Blank days mean every day, and the list shows "All days". The date limit counts only when both dates are filled in; with just one, the rule runs all year. When days and dates are both set, the pickup must match both before the rule applies. See Charging different prices by day of the week.

Why is my day-of-week rule not applying?

The rule looks only at the day the rental starts (the pickup day), not the other days of the rental, and that day must be one you ticked. If you set dates, the pickup must also fall inside them, and the rule applies only to the item it was saved on. Several matching rules are all added together. A pickup near midnight UTC (the evening in US timezones) can be read as the neighbouring day, see the timezone question further down this page. See Charging different prices by day of the week.

Multi-day and multi-hour discounts

How do I set a multi-day discount, and where can I see them all?

On the item's Pricing step, find Multi-Day Discounts, click + Add discount rule, enter the number of days (next to "+ days"), choose % or $, enter the amount, and save the item. Every item's discounts are listed, read-only, on the Multi-Day / Hour tab of Pricing Rules, for example "3+ days" with the discount. When no item has one, the tab says "No multi-day discounts configured yet. Add one from a fleet item's editor." See Where duration discounts live across your fleet.

What are Multi-Hour Discounts, and why can't I see them on my item?

The Multi-Hour Discounts block appears only when the item's Hourly rate is turned on. It applies when a booking is priced at the hourly rate, and it takes the place of the multi-day discount on that booking, never both. Items that have them are listed on the Multi-Day / Hour tab, which otherwise says "No multi-hour discounts configured yet. Enable the Hourly tier on a fleet item to add one." If an item has several multi-day rules, which one applies?

Only one: the rule with the highest number of days that the rental has reached. For example, with "3+ days: 5%" and "7+ days: 15%", an 8-day rental gets 15% off, not 20%. See Where duration discounts live across your fleet.

Do separate days of the same item count toward a multi-day discount?

Yes. When one booking holds the same item on days that are not back to back, the discount level is chosen from the total number of different days picked, gaps included. This does not apply to items priced by the hour, half-day lines, packages or different items. See How a price is calculated.

Bundle discounts and bundle products

What is the difference between a bundle discount and a bundle product?

A Bundle discount is a rule that takes money off when one booking already contains enough of the items you listed (like "rent 2, save 15%"); it never appears as a listing. A Bundle product is a package you list and price yourself, such as a "Gear Bundle", and customers book it as a single item. Both are managed from one page: hover Pricing, click Bundle discounts, and pick one of the two cards at the top. How do I create a bundle discount?

1. Hover Pricing, click Bundle discounts, and choose the Bundle discount card. 2. Click + Create new bundle discount, tick two or more items, and click Continue →. 3. In the form (the items are already ticked), fill in Name, Min items to qualify, Rate, Applies to, Discount and Type (% or $). 4. Click Save discount.

Discount takes whole numbers only. See Discounting when customers rent multiple items together.

What do Min items to qualify, Applies to and Rate mean on a bundle discount?

Min items to qualify counts units (single rentable items) in one booking across the items you listed, so two of the same kayak count as two, and it cannot go below 2. Applies to decides who gets the discount: All items discounts every unit, Cheapest item only the single cheapest unit, and Each additional item every unit except the cheapest. Rate limits the rule to bookings priced at one rate (Half day, Full day, Hourly, Multi-day or Weekly), and Any rate is the default. If more than one bundle discount qualifies for a unit, only the smallest discount is used. See Discounting when customers rent multiple items together.

How do I edit or delete a bundle discount?

On the Bundle discount card, click + Create new bundle discount, tick just one item that is part of the deal, and click Continue →. The page lists that item's bundle discounts, each with Edit and an X button, and the X deletes the discount at once with no confirmation. Click + Add bundle discount to add another. If the list cannot load you see "Couldn't load bundle discounts for this item." with a Retry link. See Discounting when customers rent multiple items together.

What is "Show a deal badge on these items", and why might the badge not show?

It puts a short line on the item's card on your booking page, such as "Rent any 2 of these and save 15% on the cheapest", and it ends "on each" for All items, "on the cheapest" for Cheapest item and "on each extra one" for Each additional item. A Customer preview under the checkbox shows the exact line. The badge needs the box ticked, Min items to qualify of 2 or more and a discount above zero, and it is display only, so the discount works with or without it. When several rules cover one item only one badge shows, the one with the largest discount number, comparing % and $ rules by the number alone. Why is a bundle discount not applying to a booking?

A bundle discount looks at the whole booking: it needs at least Min items to qualify units from the items you listed, and when Rate is not Any rate the booking must be priced at that rate. A price shown for one item on its own, such as a browse price, does not include it. A bundle price match on a bundle product wins over a bundle discount for the same item, and a coupon set to Exclusive can replace the discount when the coupon saves more. Why can't I press Continue or save a bundle discount?

Continue → stays greyed out until you tick at least one item, and the footer reads "Select one or more items to bundle." Saving shows "Name is required." when the name is empty, and "Pick at least two items for a bundle." when fewer than two items are ticked under Items in this bundle. Min items to qualify will not go below 2. If the picker says "No fleet items match your search.", clear the search box or the category chip. How do I create a bundle product?

1. Hover Pricing, click Bundle discounts, and make sure the Bundle product card is selected (it is the default). 2. Click + Create bundle product, then fill in Bundle name, Category and Description, and add photos. 3. Tick at least two items under Items in this bundle and set each Qty. 4. Enter the Bundle price for the rates you want, and a Security deposit if needed. 5. Tick Publish to put it on your storefront (your public booking website), then click Create bundle.

What does "When items are booked separately" (bundle price match) do?

Off (the default): the bundle price applies only when someone books the bundle listing itself. Any item: booking even one of its items on its own charges that item's share of the bundle price. All items: the bundle price replaces the items' normal prices only when every item is booked together. Where a price match applies, a bundle discount does not also apply to the same item. See Building a bundle product.

What errors can the bundle product form show?

"Give the bundle a name." appears with no name, and "Pick at least two items to include in the bundle." with fewer than two items ticked. With Publish ticked you also need a price ("Set at least one price before publishing the bundle.") and a category ("Pick a category before publishing", because the storefront groups items by category and a bundle without one would not appear). If you are at your plan's limit, creating one says "You've reached your plan's limit of N fleet items." where N is your limit. See Building a bundle product.

Why doesn't my bundle show on my website?

Check four things: Publish is ticked (an unpublished bundle shows a Draft tag in the list), the bundle has a Category, it has at least one price, and every item inside it has a free unit for the dates, because a bundle can be booked only while all of its items are free. A bundle also needs its own photos, because it does not borrow them from the items inside it. See Building a bundle product.

How do I edit or delete a bundle product?

Click Edit on its row (or click the bundle in the Bundle tab of Pricing Rules), change it, and click Save bundle. Delete asks you to confirm with Delete bundle, then removes only the bundle listing, and the items inside stay in your fleet. Only owners and managers can delete a bundle, because the staff role has no permission to delete fleet items. An item that is inside a bundle cannot be deleted from your fleet until you remove it from the bundle: the message starts "This item is part of 1 bundle" and says "Remove it from that bundle first". Rate card templates

What is a rate card template, and how do I create one?

A rate card template is a saved set of prices and a deposit amount that you can copy onto many existing items at once. 1. Hover Pricing and click Rate card templates. 2. Click + New Template. 3. Type a name and an optional description, then fill in Rate tiers, Deposit and the tax switch. 4. Click Save template. A missing name shows "Template name is required."

With no templates yet, the page says "No rate card templates yet". See Reusable pricing templates.

What does each field on a rate card template mean?

Hourly, Half-day, Full-day, Multi-day (per day) and Weekly are prices; a box left empty is not touched when you apply the template, and typing 0 sets that price to $0. For items priced by flat rates, the multi-day price is used from 2 days and the weekly price from 7 days. Deposit amount is the security deposit. Items are taxable is saved on the template but is not copied onto items. See Reusable pricing templates.

How do I apply a rate card to my items?

1. Open the template (click its card) and make sure it is saved. 2. In the Apply to fleet items panel, tick the items, or use Select all. 3. Click Apply to machines (the button reads "Apply to 3 machines" when 3 items are ticked). 4. Read the list of changes in the pop-up (dialog), then click Apply changes.

Nothing changes on any item until you do this. See Reusable pricing templates.

What do the Applied, Out of date and Not applied badges mean?

Applied means you applied this template to that item and its values still match. Out of date means you applied it before, but the template or the item has changed since. Not applied means the item has never received this template. Select all out-of-date ticks every item marked Out of date, and is greyed out when there are none. See Reusable pricing templates.

If I change a rate card template, do my items' prices change?

No. Template edits stay on the template until you apply them, and after saving you see "Template saved. Use the panel to apply changes to machines." Items you applied it to earlier show Out of date until you apply again. Deleting a template changes nothing on items either: "Machines that received this template will keep their current pricing." See Reusable pricing templates.

What exactly does applying a rate card change on an item?

It copies the template's hourly, half-day, full-day, multi-day and weekly prices and its deposit amount onto the item, plus a deposit hold timing and hold duration that the template editor does not show (the template stores at_booking and 48h unless it already held other values). The dialog lists each change, for example "Full-day rate: $200.00 → $250.00", so check it before Apply changes. If an item already has its own full-day, half-day or hourly price set on its Pricing step, that item price is what customers are charged, so those three template values may not change the price; multi-day, weekly and deposit amount do take effect. How do I clone or delete a rate card template?

Click Clone on the template's card: it makes a copy called "<name> (copy)" and opens it. To delete, open the template, click Delete template and confirm; only the template is removed and items keep their current prices. See Reusable pricing templates.

Why is the Apply to machines button greyed out?

It stays grey until you tick at least one item, and while a preview or apply is running. On a brand-new template the whole panel is replaced by "Save this template to apply it to fleet items." until you click Save template. If the list says "No fleet items." there are no items to pick. See Reusable pricing templates.

How rules combine and what customers see

How do overlapping rules combine?

Each rule is worked out separately on the item's base price (rate times days) and the results are added, so they do not multiply each other. For example, a 4-day rental at $100 a day has a base of $400; a 10% multi-day discount (-$40) and a 20% seasonal surcharge (+$80) make $440, not $432. Within one type, only the best multi-day rule applies, every matching seasonal and weekday rule is added, and for bundle discounts only the smallest qualifying discount per unit is used. A dollar amount is applied once per rental and unit, not per day, the price never goes below $0, and a coupon then applies on top unless Exclusive is chosen under Coupons + discounts on the Coupons tab. What do customers see when a rule changes their price?

Before they pay and on the receipt, each rule appears as its own line: Duration discount, Seasonal discount or Seasonal surcharge, Time-based discount or Time-based surcharge, and Bundle discount (the summary before payment shows Bundle price adjustment instead if a bundle price match raised the total). If a customer asks why they have a surcharge line, their pickup date or weekday matched one of your rules, which you can see on the Seasonal tab or on the item's Pricing step, and the rule applies to every booking that matches, not to one customer. Which timezone do seasonal and weekday rules use?

Neither uses your shop's timezone today, which is a known problem. The weekday rule is built to take a timezone, but the quote and booking screens never supply one (a comment in the quote code calls this a defect), and the seasonal rule has no timezone input at all. Both therefore read the pickup moment on the server's clock (the computer that runs Renta), which runs on UTC (Coordinated Universal Time, the world reference time). A pickup near midnight UTC, which is the evening in US timezones, can count as the next day, so a rule can be missed or fire a day off: a pickup at 8 pm Denver time on a rule's last day is already the next day in UTC and gets no adjustment.
