Booking statuses explained

What pending, confirmed, active, completed, cancelled, and expired mean for a booking.

Every booking moves through a lifecycle, and its status badge tells you exactly where it is in that lifecycle — from first being reserved to the rental being wrapped up.

How it works

  • pending — the dates are reserved (held) but payment hasn't been attempted yet.
  • pending_payment — payment is being collected or waiting to be confirmed.
  • confirmed — payment has been received and the booking is locked in.
  • active — the customer has checked out the item(s) and the rental is currently in progress.
  • completed — the rental is finished; the equipment is back, though money (like a deposit) may still be settling.
  • cancelled — the booking was voided, either by the customer or by staff.
  • expired — the reservation hold ran out before the customer finished paying, so the dates were released.

Example

A customer books a boat online but their card fails at checkout — the booking sits as pending_payment. If they never fix the payment, the hold eventually becomes expired and the dates open back up for someone else.

Good to know

  • You move a booking between statuses using the status transition buttons — Confirm, Check Out, Finish, and Reopen — not by editing the badge directly.
  • A cancelled or expired booking releases its items back into your available inventory.
