Waivers: common questions

Quick answers on tracking who has signed, sending and resending waiver links, signing in person, building waiver templates, the default waiver, selfie and ID photo requirements, and waiver policy values like minimum age.

Tracking signatures

Where do I see which bookings still need a signed waiver?

Click Waivers in the left sidebar. Each booking is a card with the customer, booking number, pickup and return dates, and one line per person who has to sign, with a status. See Tracking which bookings still need a signed waiver.

What do the waiver statuses mean?

Completed means signed. Awaiting signature means the link was sent and not signed yet. Link not sent means no link has gone out. Passengers added to a booking show their own line, marked "rider", because each one needs their own signed waiver, separate from the primary customer.

What do the Active, Upcoming, Completed and Cancelled tabs show?

Upcoming shows open bookings (confirmed, pending or pending payment) whose pickup is still ahead, soonest first. Active shows open bookings whose pickup time has already arrived. Completed and Cancelled show finished and cancelled ones. Expired bookings are left out. An amber number on Upcoming counts upcoming bookings that still have an unsent waiver.

Can I search or filter the list?

Yes, there is a search box (name or confirmation number) and a date filter above the cards.

Why do I see "No active waiver template for this catalog"?

You have no active waiver template, so there is nothing to track signatures against. Press Manage templates to create or restore one.

Sending and signing

How do I send a waiver link to a customer?

On the person's line press Send (when the status is "Link not sent") or Resend (when it is "Awaiting signature"). Both only appear while the waiver is unsigned and a link can be sent. The booking's Payments & Documents tab has the same actions, with Sign in person in place of Open.

How does a customer sign at my counter?

Press Open on their line. It opens the signing page so the customer can sign on a shared device at your counter. A customer can also sign at the kiosk, if you turned on the Waiver step. See Pick up at the kiosk.

Why is there no Send or Resend button on a line?

The waiver is already Completed, or Renta has no email address or phone number on file for that person, so it cannot send a link. Use Open to sign in person, which shows for every unsigned waiver.

Why does it say "Failed to send waiver"?

Renta could not send the link. Make sure the person has an email address (or phone) on their record, then try again. "Network error" means the page lost its connection.

A rider signed a waiver but never booked. Will they appear in Customers?

If the rider signed with an email address, Renta matches them to the customer with that email or creates a new customer. A signer with no email is not added. See Building your waiver forms.

Templates

How do I create a waiver template?

Click Waivers → Manage templates → + New Waiver Template. Enter a Template name, choose the type, write the text, and press Save. Both the name and the content are required ("Template name and content are both required."). See Building your waiver forms.

What is the difference between Single and Per Rider?

Single (one per booking) is signed once for the booking. Per Rider asks every rider on the booking to sign their own copy.

Can I require a selfie or a photo of the driver's license?

Yes. In the template editor, tick Require a selfie photo and/or Require a driver's-license (ID) photo. The signer must take the photo before they can sign. A new template starts with both ticked, and the template list shows a "Selfie + ID required", "Selfie required" or "ID required" tag.

How do I set the default waiver?

On the template's row press Set as default and confirm. The row then shows a Default tag. Remove default takes it away, and new bookings then fall back to the platform default. If none is set the page shows "No default waiver set."

How do I retire a waiver template, or copy one?

Press Archive on its row (you confirm first) to stop using it for new bookings. Archived templates stay in the list with Restore. Clone makes a copy you can edit.

Can I add initials boxes or other fields to a waiver?

Yes. The editor has a "Fields" menu for fields you add, including + Add initials box, which you place inside the waiver text.

Is the waiver text legally valid?

Renta gives you the tools to build and collect waivers, but the legal content is yours to get right. The page says so ("Your waiver, your responsibility") and suggests having a local attorney review it if you rent to minors or run state-regulated activities.

Waiver policy values

How do I set a minimum age, late fee or cleaning fee for my waiver?

Go to Settings → Waivers (Waiver Policy Settings). Fields such as Minimum renter age (starts at 18), Late fee amount, Late fee period (Per hour or Per day), Cleaning fee and Deposit method fill the placeholders in your templates, such as {{MINIMUM_AGE}} and {{LATE_FEE}}. Does the late fee on the waiver policy page actually charge late fees?

No. It only fills in the wording of the waiver. To charge a late fee when you finish a rental, set the rule under Pricing → Late fees.

What does the small marker beside a policy field mean?

"Not saved yet — this will leave its {{PLACEHOLDER}} blank in a signed waiver until you set and save a value." Fill in and save the field so your waiver does not show a blank.
