Asking customers for reviews (Review outreach)
One card per customer shows who you've asked for a review and who you haven't, with Email, Copy, and Mark as sent for each review link.
Where to find it
Insights → Reviews tab → Outreach
Review outreach is the list that shows which customers you have already asked for a review and which you still need to ask. You can ask by email in one click, or copy the links to send by text.
Where to find it
Insights, then the Reviews tab. It opens on Outreach; the other sub-tab, Reviews, is where you approve or hide reviews you've received (see Approving and linking customer reviews).
How it works
Each customer has one card with a tile for every review link you've set up (Google, Yelp, your own website's review form, and so on).
- Card color. Red means the customer has a finished rental and you've never asked them. Green means at least one link has been sent ("Asked" with the date). No color means there's nothing to ask about yet, with the note "No completed booking yet". Colors are never the only signal; each card also says it in words.
- What counts as finished. A rental marked completed, or one that is still open in Renta but whose return date has passed.
- Waiver signers. Someone who only signed a waiver, with no booking of their own, is also listed and marked with an asterisk and the note "Waiver signer only, no booking". You can still ask them for a review.
- On each tile: Email (it becomes Resend once sent), Copy the link, and Mark sent if you texted it yourself. A tile shows "Sent" with the date, "Skipped" with the reason, or "Not sent".
- On the card: Email all (one message with every link), Copy all, and Mark all sent.
- If a customer has no email on file, Email is turned off and the card says to copy the links and text them. The text you copy uses a short Renta link (it starts with /r/) that sends the reader on to your review page.
- Filters: All, Needs request, Pending, Approved, Hidden, Sent, Not sent. You can also search by name or email. Needs request is the quickest way to find customers you still need to ask.
- Stays current. The list refreshes on its own about once a minute and whenever you come back to the browser window, so a send from another device shows up without reloading.
Review links and auto-send
Above the list, the Review links panel (if you have permission to manage reviews) is where you add, edit, delete, and reorder your links. Each link has an Auto-send option with a delay in hours or days after the rental ends. Only rentals that end after you turn auto-send on are emailed, and each customer gets each link once. If you haven't customized the review email, the page says it is using the default wording and links to your email templates.
When staff finish a rental
In the Finish Rental window there is an optional Reviews step. It lists each person on the booking: the person who booked, plus any rider with an email or phone number. For each link, staff can Send email, Copy, or Mark asked (for example, when they asked in person). With two or more links not yet handled, Email all links sends one email containing all of them. Riders are offered the external links only (Google, Yelp, and similar), not your website's review form. The step never blocks finishing, and once someone is marked asked, the Outreach list stops flagging them. To take a link off this step, switch it from Shown to Hidden in the Review links panel.
Good to know
- Seeing the tab needs permission to view reviews. The Email, Copy, and Mark sent buttons and the Review links panel need permission to manage reviews.
- This is separate from reviews already on your Google Business Profile: see Your Google Business reviews in one place.
