Running more than one shop

How to work with two or more shops: switching the dashboard between them, giving each item a home shop, moving a booking, and how customers pick a shop.

If you have two or more locations (shops) in Settings → Locations, Renta turns on a set of shop features. With one location, none of them appear.

Adding your shops

Go to Settings → Locations and add each shop with its own address, phone, timezone, sales tax rate, and operating hours. A shop's timezone and tax rate can be left on "Business default". One shop is marked Default. On the booking desk, the pickup location follows the items in the order; with no shop-specific items yet, it starts on the default shop. To change it, press Make default on another row. See Pickup and dropoff locations for the fields.

Switching the dashboard between shops

With 2+ shops, a Shop menu appears in the admin top bar with All shops and one entry per shop. Your choice is remembered, and pages that are shop-aware, such as Bookings, narrow to that shop. On the bookings calendar a note under the heading reads "Showing [shop]: items based there, plus items with no home shop set."

Each item has a home shop

Open an item in Fleet and find Home shop (it is called Pickup Location when you have only one). It says where the item is kept, and customers can only book it at that shop. Choose All shops (bookable anywhere) if the item isn't kept at one shop; customers can then book it at any shop. Bundles are bookable wherever their contents are, so a bundle's home shop only sets its default pickup hours.

To move many items at once, select them in the Fleet list and use Move to shop.... Units that were set to a shop individually are not changed.

One booking is at one shop

  • Booking desk: the new-booking screen has a Pickup location menu when you have more than one shop.
  • Change a booking's shop: open the booking and use the Shop card, then Change shop. This works while the booking is pending, awaiting payment, or confirmed; once a rental is out, finished, or cancelled, it keeps its shop. Items must be available at the new shop for those dates.
  • Tax: if the new shop charges a different sales tax rate, Renta shows the old and new total and what the customer will owe before you confirm. No card is charged or refunded automatically.
  • The customer is not told. Renta does not email or text them about the move, so let them know the new pickup address yourself.

What customers see

On your website, a customer with 2+ shops sees Choose your shop the first time they visit. Renta pre-marks the closest shop as Closest to you using a rough guess from their internet connection, but they confirm the choice. A shop picker also stays in the site's navigation bar so they can change later. A link ending in `?shop=` followed by the shop's ID (or its web name, where one is set) opens the site already set to that shop.

A booking is picked up and returned at one shop. If a customer switches shops with items in their cart, they're asked "Clear cart and switch" or "Keep my cart".

Good to know

  • Items with no home shop appear in every shop's view.
  • Changing an item's home shop does not move units that were set to a different shop on their own; they keep their own setting.
